Volunteer privacy notice.

What we collect

• Your application: your name, email, phone, where you’re based, your age group, availability, languages, experience, why you’d like to help, your answers to the role’s questions, how you heard about us, and any accommodation you ask for.
• Your account, if you make one: your name, email, phone, a password (stored only as a one-way hash), your profile, saved opportunities and alerts.
• Messages between you and the Foundation about your application.
• Where you came from: if you followed a link with campaign tags, or from another website, we note the tag or the website’s name with your application. No cookies are used for this.

Why we use it

To consider your application, to contact you about it, to arrange checks and onboarding if we go ahead together, to send the alerts you ask for, and to understand which ways of reaching volunteers work. We never sell your information or use it for advertising.

Who sees it

The Foundation staff who coordinate volunteers and the lead of the program you applied to. Our service providers process it for us: Cloudflare (hosting and database) and Resend (email). If a role needs a background check, we will tell you which provider we use and ask for your consent first.

Cookies

Signing in sets one cookie that keeps you signed in; it is strictly necessary and contains no information about you. Public pages use the same analytics as the Foundation’s main website, described in its privacy policies.

How long we keep it

• Applications that end (accepted, declined or withdrawn) are deleted two years after they end, unless you volunteer with us, in which case we keep what we need for as long as you do.
• Alert sign-ups that are never confirmed are deleted after seven days.
• Accounts whose email is never verified are deleted after thirty days.

Your choices

From your application page or your account you can withdraw an application, ask us to delete it, download a copy of everything your account holds, and delete your account. A deletion request withdraws the application at once; staff then delete it within 30 days unless the law requires us to keep it. You can also write to programs@roubenmalianmemorial.org.
